Cvent is one of the best-known names in event management, and for large enterprise programs it earns that reputation. But if you run a regional conference, an annual association meeting or a handful of corporate events a year, you may find yourself paying for, and configuring, far more platform than you need.
This guide covers Cvent alternatives for small organizations like yours. We'll look at why smaller organizations start looking elsewhere, how the main alternatives price their software, and how to match a pricing model to the size and rhythm of your events.
Disclosure: Everlage is our product. We've included it alongside other options and noted where it isn't the right fit. We compared published pricing only; we did not test competitors' products.
Why small organizations look beyond Cvent
Cvent is well rated overall: 4.5 out of 5 across 1,099 reviews on Capterra (checked October 18, 2026). Still, when we read through a sample of its lower-rated (1–3 star) Capterra reviews, a few themes came up repeatedly. These come from a deliberately negative sample, so treat them as patterns worth asking about in a sales call, not as verdicts.
- Costs at renewal. Some reviewers reported price increases from one year to the next.
- Contract terms. Auto-renewing contracts came up more than once.
- Setup time. Some reviewers described configuration as time-consuming without paid setup help.
- How modules fit together. Some reviewers felt certain modules worked separately, with different links or logins.
- Self-editing. Some reviewers said they relied on Cvent's team for website changes.

For a small team, these are the things that matter most: predictable cost, a contract you understand, and the ability to make changes yourself the night before registration opens.
What does Cvent cost?
Cvent doesn't publish pricing. It's quote-based, so you'll need to contact Cvent for a price based on your events and modules. Its official pricing page is a quote request ("Get a free quote / Get pricing") and lists no packages or tiers (checked October 18, 2026).
That isn't unusual for enterprise software, but it does make side-by-side comparison harder. Most of the alternatives below publish at least a starting price.
How we compared
For each tool we recorded two things from its public US pricing page, re-checked on October 18, 2026: the pricing model (how you're charged) and the published starting price. We didn't score features, because we haven't independently verified every vendor's feature set. Prices change, so check each vendor's page before you decide.

The alternatives
Everlage
Our product. Everlage is conference registration software built as a white-label event platform: your event website runs on your own domain, under your brand, with payments through your own provider. All plans include the standard platform modules, and for conferences the relevant ones are a conference program with sessions, tracks and speakers; a private speaker portal where presenters submit profiles and files for review before anything goes public; print-ready PDF badges; and browser QR check-in: scan QR tickets with a device camera, enter a ticket code, or look attendees up by name, email or order code, with undo, badge printing and live check-in stats. Unlimited scanner users. Everlage includes native iOS and Android scanner apps with offline QR check-in that syncs when you're back online. Your team builds and edits the site itself in a visual designer. See the full feature list, our tips on event check-in best practices, or how Everlage compares with other white-label event ticketing platforms.
Pricing is a flat subscription. No Everlage per-ticket fees. Extra capacity in paid 100-ticket blocks; processor fees apply. Starter is $699/mo ($6,990/yr) with 500 paid tickets a month; Professional is $999/mo ($9,990/yr) with 1,000. Monthly billing is available, and cancellation takes effect at the end of the current paid period. The Starter and Professional plans come with a 14-day trial with 25 trial tickets; no credit card is required to start. Extra blocks are one-time: $89 per 100 on Starter, $69 on Professional. Prices in USD, excluding applicable taxes. (Pricing)
Where it fits: organizations running recurring paid events with steady volume. Where it doesn't: a small, occasional conference will likely cost less on a per-ticket tool.
Accelevents
Accelevents prices by event or by year: Professional starts at $7,500 for one event, Business at $13,500 for unlimited events, and Enterprise/White Label is custom (pricing). The per-event option can make sense if you run one significant conference a year and want a defined cost for it.
Bizzabo
Bizzabo's Event OS is priced per user. Its pricing page lists "$499/user per month, billed annually (3 user minimum), starting at $17,999 per year" (pricing, checked 2026-10-18). Payment processor fees apply in addition, per §12.4.1 of its organizer MSA. Seat-based pricing rewards small teams that run many events; cost grows as you add staff.
Eventcube
Eventcube combines a subscription with a share of transactions: Starter is free plus 5% of the transaction total, Pro is $125/mo ($99/mo billed annually) plus 3%, and Business is quoted (pricing). Percentage-based pricing keeps fixed costs low but scales directly with your ticket revenue.
RegFox
RegFox charges per registration. Standard is $0.99 + 1% per registration, capped at $4.99; Professional is $499/mo billed annually plus $1.99 + 1% (capped at $5.99). A custom domain costs $150/yr on the lower plans (pricing). For low-volume events, per-registration pricing is hard to beat on cost.
Humanitix and Ticket Tailor (for very small events)
If your conference is small and occasional, two per-ticket options are worth a look. Humanitix charges 2.1% + $0.99 per paid ticket plus processing (pricing). Ticket Tailor charges $0.85 per paid ticket pay-as-you-go, or less with prepaid credits at $0.70 down to $0.34 per credit, depending on volume (pricing, checked October 18, 2026).
Swoogo
Swoogo sells annual plans priced by team size. Pricing starts from $11,800/yr (Swoogo's own estimate, 1 full user; swoogo.events/pricing, accessed 2026-10-18); Enterprise is quoted (pricing, checked 2026-10-18). Annual, team-based pricing suits organizations with a steady conference calendar and a defined events team.
Whova
Whova doesn't publish prices; its pricing page is a quote request form based on event type, length, size and features (pricing).
Which pricing model fits your event size?
Whether you're choosing association event management software for a year-round calendar or a tool for one annual meeting, it helps to match the pricing model to how you run events rather than look for a single winner. (For a broader look beyond conferences, see our guide to event registration software for small organizations.)
- Quote-based (Cvent, Whova): suits large, complex programs where a negotiated package and vendor-led setup are worth the process.
- Per event (Accelevents): gives one clear number per event; best when you run one or two major events a year.
- Per seat or team size (Bizzabo, Swoogo): cost follows team size rather than attendance; works for small teams with a busy calendar.
- Subscription plus percentage (Eventcube): low fixed cost, with fees that rise in step with revenue.
- Per registration or per ticket (RegFox, Humanitix, Ticket Tailor): usually the lowest cost for small or occasional events; the total grows with every ticket.
- Flat subscription with included paid tickets (Everlage): a predictable monthly cost that makes most sense when you sell paid tickets every month.
The right answer depends on three numbers you already know: how many events you run, how many paid tickets you sell, and how many people on your team need access. Run those through each vendor's published pricing before you book demos.
Where Everlage fits, and where it doesn't
Everlage is built for organizations that run events regularly and want the whole workflow (website, registration, program, speakers, badges and check-in) in one branded workspace they control. If that describes you, the flat monthly price can be simpler to budget than per-ticket fees or an annual enterprise contract.
If you run one modest conference a year, it probably isn't the most economical choice, and a per-ticket tool will likely cost you less. We'd rather say that here than in a sales call.
